REPORTS TO: Adult Education Coordinator

 

DEFINITIONUnder general supervision from Building Principal provides advanced administrative support for the Adult Education Program and its implementation within the Somerton School District No. 11.

 

ESSENTIAL FUNCTIONS:

TASKS:

Maintain accurate and up-to-date waitlist; intake of students; create, maintain, and keep secured student files with all required documentation; tracks, collects, and maintain accurate student data; monitors weekly student attendance, contacting students as needed; provide program orientation to students; maintains key log; execute recruitment strategies and referrals to other agencies. Monitors staff attendance and arrange substitutes as needed; reports absences; ensures staff submit time sheets for coding and signature; keeps track of program budget and reports updates to Coordinator. Keeps updated program documentation and prepares paperwork for staff’s travel requests including hotel and car reservations and conference registration. 

 

Prepares correspondence, memos, flyers and letters; maintains facebook page; translates information to students; greets visitors, staff and students in friendly manner; answers phones, schedules appointments for Coordinator; orders and tracks program inventory of technology, furniture, curriculum materials; keeps all program’s office and computer files organized and accessible to Coordinator and program staff. Keeps track of supply room for staff. Submits and follows up on work orders. Processes PARs. Performs Outcome call lists. Arranges student test times; proctoring tests as needed. Assists Coordinator as needed with opening and/or closing of school; requisitions supplies requested from staff and Coordinator; prepares venues for graduation activities; and performs related duties as assigned. Must be willing to travel and attend training and conferences as needed.

PHYSICAL REQUIREMENTS: 

Work is performed in an indoor/outdoor environment. Work requires frequent standing, walking, sitting, repetitive motion and vision to monitor. Some positions may require bending and lifting up to 25 pounds.

 

QUALIFICATIONS

High School Diploma or equivalent, and three (3) years administrative support experience. Associates degree preferred. Experience working in a school setting is preferred. Bilingual preferred. Fingerprint Clearance Card (IVP) required at the time of hiring.
